Welcome back to a new semester!  ITSC is pleased to provide some updates on the support for teaching and learning.

1.       User Accounts You have two accounts:

⬥    MyHSUusername to login eCampus, computers, Wifi and VPN.
⬥    Googleusername@hsu.edu.hk to login Google applications (Gmail, Drive, etc.)

A Separate Moodle to support Large Scale Online Assessments

Dear Teachers,

We are pleased that with better Quiz settings, Moodle has become more stable in the last few days.  Kindly refer to the following news on how to set up a Moodle quiz.

To provide better support to large scale online tests, ITSC has set up a separate Moodle system (https://online-test.hsu.edu.hk).

We now show the Server Time on every page.  So students do not need to refresh the page again and again to start a quiz.

How to set a Moodle Quiz to avoid service interruptions

Dear Teachers,

We would like to report some findings on Moodle service interruptions.  Please read carefully on how you can set an online Quiz to avoid interruptions.

Problems:

1. We find that the server loading surges to 50-70% when a quiz starts and ends, even with 40-100 users.   During the quiz, however, the loading is less than 10%.

2. Some teachers have set “Restricted Access” in the quiz setting to allow the quiz to appear at the schedule time.  This is NOT necessary as we have Open and Close time already.  Students reload the course page again and again in order to start the quiz immediately.

3. Some teachers use “Pagination” to divide questions into pages.  The overall loading is increased.  As the quiz is ending,  students jumps from page to page to review the quiz, causing heavy loading near the end of a quiz.

Solutions:

1. Put all the questions in One page if possible.  Otherwise at most two.  This will greatly reduce the server loading and student time in visiting pages.  If you really want a question per page, please allow more time and encourage students to submit early to avoid end-of-time interruptions.

2. The Timing Setting should be simple.  The Open and Close time is a hard limit.  See below, students will NOT be able to continue when the quiz is close.  No need to use “Restricted Access” setting.  Students reload the quiz waiting page is better than reloading the entire course page.

3. No need to enable the Time Limit, unless you open the quiz for a longer time (say 4 hours), and a shorter limit (say 30 minutes).  If you want students to start and end together, you may add one minute earlier at the beginning and at the end (e.g., 9:29 to 10:01).  All students then use the same time limit (30 min) even if they start slightly later.

Some teachers have the following good practices.  See if you find them useful:

1. To set a longer time (start and end time).  E.g.10:00-12:00.   The time limit be 1 hour.   Students can start later but still get 1 hour of working.

2. To inform students not to worry.  All the answers will be auto-saved within 60 seconds.  Even if they cannot submit answers, the system will automatically submit later.   They may logon after an hour to take a look.

3. To inform students not to refresh the pages too frequently.   Our network may treat them as hacking attacks and block their access.

4. Sometimes their browser may have cached some data.  They may close the current browser and open an incognito browser to try again.

5. Use MS Teams (HSUHK Staff) to leave a message in the ITSC Support Channel.

e-Laboratories – Remote access to campus computers

Dear Colleagues,

ITSC is pleased to launch a new e-laboratories service for teachers and students to remote access to computer facilities (e.g., SPSS) on campus:

  • Teachers may reserve a laboratory for online teaching.  Teachers will get a password for students to enter at a scheduled time slot.
  • Students may walk-in and remote use a station at other time slots.

Only M803 is opened at this moment (7×24).  ITSC is working on other laboratories one by one (only Windows-based computers can be supported).

This is a pilot service.  Kindly try it out and report any problem to ITSC (itsc@hsu.edu.hk).

FAQ on the use of Microsoft Teams

Technical Questions

Some students reported that they could not install or run Teams on their MacBook.  We suggest students to use the web browser to use Teams.

Some students could not login.  We reactivated the licenses and they can login successfully.

Because the system needs to transmit and receive video, teachers and students need a faster computer.  We have reminded teachers:

  • To use a desktop/notebook computer instead of a tablet
  • To pay attention to the Wifi and Internet performance of their home
  • To remind students (local/mainland) to pay attention to their Internet speed.

Some users reported disconnections and frozen Teams window during a meeting.   

Suggestions – 
1. Check your Internet/Wifi
2. Close and restart your Teams.
3. Open a web browser and use the web version of Teams:

Some teachers reported that their classroom had missed a number of students.  This was due to a student import error.  We fixed the problem and now teachers can see all their students.

This is the same problem as question#1.  We resolved the problem and sent emails to mainland students.  Mainland students confirmed that they can now enter their classrooms.

Most functions are working properly except Forms.   We have contacted Microsoft, and we advised teachers not to use this function for the time being.    ITSC is looking for better ways for teachers to take attendance and to interact with students.

Operation Questions

We encouraged teachers to show their face to students.  ITSC has ordered 50 more webcams for teachers to borrow.  Please contact ITSC.

Teachers are welcome to return to school to use a classroom with a visualizer.  ITSC will provide support on how to use the visualizer on Microsoft Teams.  ITSC is evaluating some low cost visualizers to lend to teachers if possible.

We encourage teachers to use Microsoft Teams whenever possible as it has more functions and ITSC provides support.   But we respect teaching autonomy that teachers may have special needs and use other tools. From another perspective, it is a good thing to allow students to experience different teaching technologies. 

The university has requested all teachers to implement real-time interactive online teaching, instead of asking students to do self-study of watching videos.   Teachers are advised to conduct online lessons according to the timetable whenever possible.

It is only the first week and 70% of teachers think that teaching with Microsoft Teams can be quite smooth.   Giving more time, teachers and students will become more and more familiar with online teaching.
